Challenge

The compliance team at Moffitt Cancer Center heavily relied on spreadsheets and other manual systems to ensure that the staff met their licensing and certification renewals. With only a limited team dedicated to this task, ensuring regular compliance checks on employee licenses and certifications was a significant challenge, especially with a workforce as vast as Moffitt’s. “It was a very manual process; everything was captured in spreadsheets. Every month, the team doing compliance previously, that was the extent of what they could do because of the limitations,” Carrie Torres Davila, the HR Compliance Analyst at Moffitt Cancer Center, recalled. Missing an expired license could have significant implications regarding patient care and compliance with regulatory bodies.
Solution
EverCheck emerged as a solution for monitoring compliance for Moffitt Cancer Center. The solution continuously monitored licenses and verifications daily, addressing discrepancies immediately. “It would be impossible to check everybody’s license and certification every day to ensure continuous compliance,” Torres Davila said. “EverCheck strengthens our compliance process by monitoring and verifying licenses daily, and it quickly notifies us of any arising situations, providing us with peace of mind.” During a Joint Commission Audit, Moffitt promptly produced the necessary documentation and primary source verifications, impressing their management team and validating the effectiveness of the EverCheck system. “We were able to produce the primary source verifications that the Joint Commission wanted to see with ease. During our audit, we contacted EverCheck, and they responded quickly. EverCheck was able to assist in pulling the right primary source verification for licenses.” After the Joint Commission visit, Torres Davila recalled the compliments from their management team being impressed with the results of the audit. “We were able to produce the documentation. I remember getting emails and compliments from our management team that they were impressed with the timelines in which we produced the documentation and that there were no gaps in the verification.”
